Privacy Policy

BakeTally ("we", "us", "our") is operated by NicHallSoftware (Nicholas Hall, a sole trader based in the United Kingdom, trading as NicHallSoftware). This policy explains what the BakeTally app stores, how it is used, and your rights under UK GDPR. Contact: nichallsoftware@gmail.com.

1. What the app stores

• A guest identifier — you can use BakeTally without signing up. The app creates an anonymous account so your data can be saved. It isn't linked to your name or email.
• Your email address — only if you choose "Keep your recipes safe" to back up your data. Your password is handled by Google Firebase; we never see it.
• Your business information — the business name and "how customers pay you" text you type in, your hourly rate, running costs and profit settings.
• Your baking data — ingredients and the prices you pay, recipes, boxes and extras, quotes, orders, due dates and notes.
• Payment records — the amount, date and method (card, bank transfer or cash) of payments you record, and invoice numbers. BakeTally never sees or stores card numbers or bank logins.
• Your customers' details — the names, delivery addresses and phone numbers you enter for the people you bake for. See section 3.
• On your phone only — shopping-list ticks and the PDFs and spreadsheet files you create are kept on your device and are not uploaded by us. You choose where to share them.

BakeTally does not collect your location, contacts, photos, advertising identifiers or usage analytics.

2. How it is used

• To work out your costs and prices, and to keep your quotes, orders and records.
• To back up your data and restore it when you sign in on another phone.
• To remind you, with a notification on your phone, the day before an order is due. These reminders are created on your device; nothing is sent to us to make them work.
• To manage your subscription.

We do not sell your data, use it for advertising, or use it to train AI models.

3. Your customers' details

When you enter a customer's name, address or phone number, you decide why and how that information is used, which makes you the "data controller" for it. We store it on your behalf as your "data processor" and only use it to provide the app to you.

You should only record what you need to fulfil an order, and delete customers you no longer need (More → Customers). If one of your customers asks what you hold about them or asks you to delete it, you can see and remove it in the app.

If you are a customer of a baker who uses BakeTally, please contact the baker directly. We act only on their instructions and cannot identify you from their records.

4. Other companies involved

• Firebase (Google) — sign-in and cloud storage of your data.
• RevenueCat — manages subscription status. Payment itself is handled by Apple (App Store) or Google (Google Play); we never see your card details.
• SumUp — only if you switch on "I take cards with a SumUp reader" and choose to take a card payment. BakeTally opens your own SumUp app and passes it the amount and a short title for the payment, which may include your customer's name. The payment is between you, your customer and SumUp, under SumUp's own terms and privacy policy. SumUp tells BakeTally only whether the payment succeeded.
• Apps you share to — when you send a quote, invoice or export, your phone's share sheet passes the file to the app you pick (for example WhatsApp or your email app).

5. Where it is kept and how it is protected

Your data is stored in Google Cloud's London region (Firebase Firestore, europe-west2), so it stays in the UK. It is encrypted in transit and at rest by Google, and access rules mean each account can only read and write its own data. The app also keeps a copy on your phone so it works without a signal.

6. How long it is kept

We keep your data for as long as you use BakeTally. You can delete your account and everything in it at any time in the app (More → Keep your recipes safe / Your account → Delete). Deletion is permanent. If you need your payment records for tax, export them first (More → Settings → Export payments) — HMRC generally expects business records to be kept for at least five years.

7. Your rights (UK GDPR)

You have the right to access the personal data we hold about you, to have it corrected or erased, to object to or restrict certain processing, and to data portability. You can do most of this yourself in the app. To exercise any right, contact nichallsoftware@gmail.com. You can also complain to the Information Commissioner's Office (ico.org.uk).

8. This website

This website does not use cookies or analytics.

9. Children

BakeTally is a tool for people running a baking business. It is not directed at children under 13 and we do not knowingly collect data from them.

10. Changes

We may update this policy as the app changes. Significant changes will be announced in the app, and the date at the top of this page will change.
